JOB SUMMARY
  


The purpose of this position is to lead management and optimization of a CAFM tool which contains building documentation, CAD drawings, space data, and occupancy data.  He/she is responsible for  supporting accurate and timely data availability to clients, vendors and occupancy planners involved in the design, management and delivery of real estate solutions.


ESSENTIAL DUTIES AND RESPONSIBILITIES


As the CAFM Systems Administrator the ideal candidate will:




Coordinate physical changes to CAFM database.

Work with IT on managing data feeds from HR, Finance and other technologies such as sensors, beacons, security systems


Develop best practices methods for AutoCAD layer conversions leading to optimum merging of drawings from different sources for creating overall as-built drawings

Responsible to ensure underlying CAD drawings, space data, and occupancy data are in constant state of readiness

Act as a single point of contact for the CAFM database  and application related support and subject matter expertise for all CAFM related requests

Serve as primary interface between Client Occupancy Account Manager, CAFM system provider, and Occupancy Planning Team

Collaborate with CAD Management stakeholders to ensure CAD drawings are properly imported into CAFM system uniformly and within client and CAFM system standards   Provide options on how best to facilitate client request through the CAFM system that would not jeopardize industry standards or data integrity 

Lead data management governance council to ensure proper connectivity between dependent databases/data resource  

Manage allocations and maintain data accuracy, and perform quarterly data and drawing audits

Responsible for all day to day activities of the CAFM system including but not limited to the management and optimization of application performance including the logging and resolution of software bugs and tracking and management of application enhancements 

Responsible for tool upgrades and management

Oversee all QA testing for fixes, enhancements, new releases, working with occupancy planning team, IT and/or other vendors

Responsible for systems administration, end-user training and support 

Keeps abreast of changes, new developments, trends, and innovations in the field

Performs other duties as assigned

EDUCATION and EXPERIENCE
  

Bachelor's degree (BA/BS) from 4-year college or university. Minimum six years of related experience. Prior Supervisory experience preferred.


CAFM Experience is strongly preferred.

Experience with FM: Systems, Archibus or similar CAFM system is also strongly preferred.


Excellent written and verbal communication skills Previous experience in space/occupancy planning; using AutoCAD in a planning capacity is highly preferred.

Advanced proficiency in Microsoft Excel experience required. Proficiency with MS Office applications including Excel, Word, PowerPoint and MS Project.

 


CERTIFICATES and/or LICENSES
  

PgMP (Program Management Professional) or PMP (Project Management Professional) certifications preferred.

Ability to comprehend, analyze, and interpret the most complex business documents. Ability to respond effectively to the most sensitive issues. Ability to write reports, manuals, speeches and articles using distinctive style. Ability to make effective and persuasive presentations on complex topics to employees, clients, top management and/or public groups. Ability to motivate and negotiate effectively with key employees, top management, and client groups to take desired action.


FINANCIAL KNOWLEDGE
  


Requires in-depth knowledge of financial terms and principles. Ability to calculate complex figures. Ability to forecast and prepare budgets. Conducts financial/business analysis including the preparation of reports.


REASONING ABILITY
  


Ability to solve advanced problems and deal with a variety of options in complex situations. Requires expert level analytical and quantitative skills with proven experience in developing strategic solutions for a growing matrix-based multi-industry sales environment. Draws upon the analysis of others and makes recommendations that have a direct impact on the company.


OTHER SKILLS and ABILITIES
  


Strong process skills, negotiating, decision-making and analytical skills are necessary. Demonstrated ability in project management processes, tools and techniques.

Ability to build and maintain effective professional/client relationships.

Intermediate skills with Microsoft Office Suite including MS Project.
