Position Summary:

This position is responsible for space management and offices services at the NMDP headquarters and field offices. The individual will plan and implement large space and furniture projects as well as tenant improvements to provide an efficient, professional and cost-effective workplace. As part of the Facility Management and Real Estate department, the individual will oversee internal and external staff needed to provide space/MAC activities, reception, café & vending services, event planning, duplication center, records management and shipping/receiving services.


Accountabilities:

Space Management:

•Identifies space strategies for various departments; coordinate, execute and document.

•Manages tenant improvement and equipment replacement projects.

•Maintains detailed space utilization data and is accountable for accuracy of IWMS reports.

•Prepares space reports by collecting, analyzing, and summarizing data and trends.

•Oversees day-to-day moves/adds/changes (MAC) and company’s ergonomics program.

•Responsible for furniture and finishes including procurement, relocation, maintenance, and asset tracking.

•Oversees availability and use of conference rooms and event spaces.

 

Office Services:

•Responsible for office services in Coordinating Center and field offices.

•Office Services includes: reception, café & vending services, duplication center, records management, centralized office supplies and mail.

 

Leadership and Financial Acumen:

•Provides day-to-day direction to internal office services employees and on-site service providers.

•Monitors performance of team, providing input on hiring, individual goals and disciplinary actions.

•Works with company’s on-site restaurant service provider for optimum value.

•Vendor management including RFPs, contracts, invoicing and performance.

•Provides input into the annual department budget; reconciles invoices and monitors adherence pertinent to office services.

•Responsible for ongoing process improvements and other duties as assigned.


Required Qualifications:


Knowledge of:

•Space management, tenant improvements, move coordination.

•Project management processes.

•Facility Management technology including IWMS, AutoCAD and other databases.

•Office services methods and deliverables.

•Financial aptitude.

Ability to:

•Create space strategies based on business needs and deliver efficient and effective workspaces.

•Coordinate multiple projects simultaneously.

•Supervise an engaged team to produce outstanding results.

•Build professional relationships with various department representatives and external service providers.

•Manage department expenditures.

•Create and manage process improvements.

 

Education and/or Experience:

•Bachelor’s degree in facility management, project management or a related field.

•5-years’ experience in facility management focused on space management.

•Proven experience with various databases, including Integrated Workplace Management Systems (IWMS) and AutoCAD.

•Position may require driving to and from multiple off-site locations. Must have valid driver’s license and reliable transportation.

 

Preferred Qualifications: (Additional qualifications that may make a person even more effective in the role, but are not required for consideration)

•Previous supervisory experience.

•Professional designation such as CFM, FMA, CCM, NCIDQ, etc.
