Robert Half is seeking a Senior Workplace Experience Manager North American Field Offices to be responsible for crafting and deploying a sustained, high-quality facilities services program for our field offices located throughout North America (USA & Canada). The Senior WPS Manager will partner with our Field Office employees and vendor affiliates to create a positive Robert Half workplace experience. He/She will passionately pursue opportunities to improve services and recommend areas to innovate while being fiscally conscientious. The WPS Senior Manager will tenaciously promote our team and our service offerings by embarking on a strategic campaign at selected sites. He/She will take ownership and be the face of our WPS Hospitality initiative. Status and information shall be communicated to business leadership through Reporting, Dashboards and KPI/Metrics. This role will also be responsible for overseeing the facilities helpdesk function, aka Workplace Services Solutions Center

Specific responsibilities include:
  • Lead and direct team members who will be first-responders and points-of-contact regarding office requests/helpdesk tickets and other urgent requests pertaining but not limited to electrical issues, HVAC maintenance, leaks and lighting issues as well as monitor and report on all site "environment condition sensors" as required (ie, sound masking, flood, temp, power, IAQ sensors)
  • Develop the process to monitor and create work ticket reports and analyses of workload by site
  • Drive the improvement of the building operations and maintenance programs for appropriate locations (ie, janitorial, bulbs, hot-cold service levels)
  • Be the point-of-contact for managing and developing service-resolution processes with landlords, property managers, vendors
  • Oversee the processing of Purchase Orders and invoices related to WPS projects
  • Project manage miscellaneous workplace services initiatives such as LED lighting conversions, sounds masking systems, environmental condition sensors, virtual 3D suite scanning and other improvements to ensure the successful change management and timely execution
  • Partner and collaborate with Procurement to identify and source market resources for all appropriate goods and services in the field offices
  • Launch scheduled Site Condition surveys and assessments
  • Influence capital project buildouts by providing recommendation for various equipment, appliances, and fixtures as well as timely activation of all necessary office services and amenities (such as coffee, shredding, printers, first aid, plants, postage equip, etc.)
  • Oversee the evaluation of existing office equipment, and track performance and usages of equipment and related maintenance agreements as well as warranties
  • Review and approve proposals for equipment and services and make formal recommendations related to purchases
  • Act as 24/7 emergency contact for field offices
  • Create program and process that ensures overall suitability and cleanliness of the Field offices
  • Prepare executive status updates on any site incidents, one-off requests, etc. that may be forwarded to senior management to inform or seek decisions.
  • Participate in weekly RE project calls to provide WPS insight, feedback and recommendations.
  • Ability to influence and curate effective business relationships effectively with key business leaders.
  • Create and administer an Office Services budget and all necessary data/metrics
  • Perform spend analysis and reporting on selected G/L's by location.
  • Predict, track, and trend performance to ensure KPI's are being met and necessary metrics are being created and monitored.
  • Negotiate contracts related to building services including janitorial, food vendors, office and kitchen supplies, and all mailroom and other office equipment through partnerships with Procurement.
  • Participate as necessary in assembling proposals, issuing purchase orders, receiving goods and services, coding invoices, and paying vendors.
  • Partner as necessary with the Corporate Security-Safety Manager in deployment of security, safety and sustainability campaigns and initiatives
    • Interact with landlord and local jurisdictions for emergency response resources

  • Provide leadership and direction to direct-reports who are first-responders and POCs regarding office requests/helpdesk tickets.
  • Look for opportunities to innovate in areas that will improve employee experience
  • Effectively communicate timely and necessary information and recommendations to your team
  • Manage and promote the Workplace Services "hospitality" brand throught the field offices
  • Act as main point of contact and WPS Brand Ambassador for all field stakeholders and clients.

Qualifications:

  • College degree (BS or BA) or equivalent.
  • Facility Management Certification desirable.
  • 5+ years facility management experience
  • 5+ years staff supervision experience.
  • First aid/safety/disaster recovery training.
  • Office equipment vendor management.
  • Microsoft Office.
  • Electrical system knowledge.
  • Blue print and space planning knowledge.
  • Fire suppression system knowledge.
  • Building and Fire Code knowledge.
  • Appx 35% Travel.
