Eastman Companies seeks a Director of Property Management to lead, manage and oversee the entire property portfolio and property management team. The Director of Property Management is a seasoned real estate professional responsible for all aspects of our buildings including curb appeal, tenant affiliated construction, mechanicals, tenant relations, maintenance, and preventative maintenance. The Director of Property Management is responsible for assuring the preparation of annual budgets, recommending capital expenditures, participating as an integral part of Eastman Companies’ marketing and leasing activities for the property portfolio, implementing policies and procedures, and supervising, developing and coaching the property management team.

This position reports to the principals of the company. This is a full-time position, based in Livingston, NJ with frequent travel to properties throughout Essex, Morris, Bergen and Somerset counties.


Job Duties

  • Responsible for managing the entire tenant relations function

  • Coordinate property maintenance and repairs with staff members and tenants

  • Play an integral role, and collaborate with the Leasing team on new tenants and renewals

  • Review and approve property operating statements for compliance with budgets

  • Review proposed major expense variances from commercial property budgets and make

    recommendations to principals; prepare all documentation required for accounting team

  • Identify and analyze major capital expenditure programs such as remodeling and major tenant

    improvements, in conjunction with principals

  • Monitor revenues from management and leasing fees from commercial property portfolio and

    analyze commercial portfolio costs to ensure a profitable operation

  • Collaborate with accounting team on the preparation of annual budgets for property portfolio

    to be reviewed by principals; maintain responsibility for overseeing budgets

  • Coordinate annual property budget reviews, competitive surveys and management business

    strategies

  • Participate in ongoing site visits to all properties, conduct property inspections and continually

    meet with tenants to determine customer satisfaction

  • Monitor rent rolls, lease expirations, operational variance reports, delinquency reports and

    other reports required by principals

  • Assist in the development of CAM billings, budgets and reconciliations for all properties

  • Review preventative maintenance programs, tenant retention programs, and emergency

    preparedness programs

  • Responsible for monthly management reports

  • Responsible for coaching, counseling, mentoring directing and disciplining employees

  • Accountable for communicating job expectations, planning, monitoring, appraising and

    reviewing job performance

  • Responsible for holding the team accountable to successfully deliver exemplary, prompt service

  • Responsible for the creation and administration of processes, procedures and associated manuals for property management department

  • Coordinate tenant improvements for new tenants

  • Responsible for insurance contracts for all properties

  • Review market analyses and make rental recommendations to principals; participate in special

    projects periodically assigned by principals.

  • Oversee the launch of special projects including co-working and related initiatives

  • Work closely with construction, accounting and leasing teams

Skills and Qualifications

  • Bachelor’s Degree required

  • 10 or more years of commercial real estate and supervisory experience in similar capacity

    required

  • Must have demonstrated success at managing a team of at least seven employees

  • Real Estate License strongly preferred

  • Must possess outstanding knowledge and experience with physical attributes of a property and

    be skilled at providing specific recommendations on the maintenance and care of the property

  • Must possess exemplary knowledge of all laws and regulations relating to commercial real

    estate properties

  • Must possess excellent knowledge of computer software packages that relate to real estate

    management and possess a facility with technology

  • Must have a proven track record of success at providing unparalleled internal and external

    customer service

  • Must possess outstanding written and verbal communication skills

  • Must possess stellar presentation skills and the ability to concisely communicate

  • Exemplary analytical and problem solving skills, curiosity to learn, sense of humor
